Operations and Projects Manager, Global Development

Founded in 2001, Oceana has offices in North America, South America, Asia and Europe that work together on a limited number of strategic, directed campaigns to achieve measurable outcomes. Our scientists work closely with our teams of economists, lawyers and advocates to achieve tangible results for the oceans. Oceana has approximately 220 staff located in ten countries and an annual budget of approximately $45 million.

Oceana is seeking an Operations and Project Manager for its Global Development team. This position reports to the Senior Vice President (SVP) of Global Development.

Working closely with the SVP, the incumbent helps ensure the effective operation of the Global Development department. S/he will be responsible for planning, managing, and executing projects to support Oceana’s major donor, special events, and institutional fundraising teams in the United States, Europe, and Canada.

S/he serves as a connection between the Global Development Team and the staff of other departments and offices, ensuring that communication flows and the relationships needed to produce quality and timely work products are developed and maintained. 

   

Principal Duties and Responsibilities

Essential Functions:

Assist the SVP with the development of strategic, annual plans and operational/work plans for the division. Plan for, track, monitor and report on fundraising goals, activities and results.

Ensure reports, proposals, and other products from the fundraising teams receive the review, input and approval needed from the SVP and/or Oceana’s President and CEO.

Coordinate the production of materials and presentations and carry out other activities to prepare for Board of Directors and other significant meetings and events.

Coordinate and manage financial reporting for the Department. This includes the compilation and reporting of revenue across the Department’s fundraising team, working with the SVP to create and manage the division budget.

Manage the recruiting, hiring, and training functions for the division to ensure positions are well designed and filled by competent individuals, who are oriented and trained to work effectively. 

Participate in meetings among the SVP, the development team and senior management.  Track decisions and outcomes and ensure/conduct appropriate follow-up.

Ensure appropriate and effective use of Oceana’s CRM (SalesForce) by the development division.  Work with division staff to ensure roles are clear, data is entered in an efficient way and reports are designed and used to support the initiatives of the Division. Liaison with the SalesForce Platform Manager.

Other duties will be assigned including conducting research and staffing fundraising events.

 

Job Requirements

Education and work experience:

  • Bachelor’s degree and five years related experience or equivalent combination, including three years linking operational and business functions to strategic objectives; or equivalent combination of education and experience
  • Experience meeting tight deadlines, completing unexpected projects, balancing competing priorities, and effectively managing a demanding work load.
  • Ability to handle many tasks simultaneously, with speed, accuracy, and courtesy, show initiative, and exhibit exceptional level of insightful planning and understanding of abstract concepts.
  • Highly organized working style with great attention to detail while being able to maintain a big picture view of overall team goals and priorities.
  • Appreciates and uses direct, clear communication, has high emotional intelligence, will ask clarifying questions when needed and is persistent at follow-up.
  • Demonstrated ability to work in partnership with others in a collaborative or advisory role, including experience working with teams across an organization; ability to build and maintain trust and confidence of all staff, including Oceana leadership, executive committee, and colleagues.
  • Be able to represent Oceana in a professional and responsible manner.
  • Excellent computer skills, including proficiency using word-processing, spreadsheet, and scheduling software. Experience with enterprise-wide Customer Relationship Management systems a plus. Microsoft Office Suite experience required.
  • Must maintain strict confidentiality in working with sensitive information, and possess excellent judgment in handling communications, expenses, budgets, other issues, and personal relationships.
  • Be willing to embrace a varied workload, including travel and occasionally working outside of normal work-week hours.
  • Fluency in Spanish or other languages is a plus.

 

Skills and knowledge:

  • Good written and verbal communication skills and keen analytical ability.
  • Demonstrated ability to conceive concepts and pitches, and write effectively for various audiences. Ability to produce polished finished products with little oversight.
  • Experience developing, managing, and implementing projects, plans, and complex processes.
  • Successful experience managing and implementing strategic program goals.
  • Superior planning and problem solving skills. Experience creating marketing and PR products for internal and external audiences. 
  • Experience creating and managing budgets, and financial reports. 
  • Fundraising experience desirable. PR, communications or marketing experience is a plus.
